Job Overview:

We are looking for a highly organized and proactive Personal Assistant (PA) to provide top-tier support to a senior Board Member. The PA will ensure seamless management of personal responsibilities, handling complex schedules, and managing various personal commitments with utmost professionalism. The ideal candidate is detail-oriented, adaptable, and capable of anticipating needs and swiftly addressing a dynamic range of tasks. Discretion, professionalism, and strong communication are key to succeeding in this role.

Key Responsibilities:

Personal Assistance
  • Manage personal calendars, organizing appointments and commitments for family members.
  • Coordinate all aspects of family travel, including bookings, itineraries, and transportation.
  • Assist in planning personal events, gatherings, and family activities.
  • Serve as the main point of contact for personal matters, ensuring smooth external communications.
  • Handle personal tasks and correspondence with discretion and confidentiality.
  • Maintain complete confidentiality regarding family-related matters.
General Tasks
  • Plan and book travel arrangements for both personal and business purposes, including flights, accommodations, and ground transportation.
  • Prepare detailed travel itineraries and manage any last-minute changes.
  • Handle phone calls, emails, and correspondence, ensuring timely follow-ups.
  • Ensure all sensitive information is handled discreetly.
  • Provide administrative support, including filing, data entry, and organizing meetings.
  • Assist with special projects and adapt to various tasks in a fast-paced environment.
  • Maintain organization across all responsibilities and tasks.

Qualifications:

  • Proven experience as a Personal Assistant or in a similar role, supporting high-level executives or board members.
  • Strong proficiency in email communication, capable of crafting professional correspondence.
  • Exceptional attention to detail and thorough follow-up skills.
  • Excellent written and verbal communication skills.
  • Proficiency with office software (Microsoft Office Suite, Google Workspace) and organizational tools.
  • Strong time management skills, capable of multitasking and meeting deadlines in a fast-paced environment.
  • Ability to work independently, handle multiple tasks, and maintain discretion with sensitive information.
  • Flexible and adaptable to changing schedules and priorities.
