Discretion, professionalism, and strong communication are key to succeeding in this role.
Key Responsibilities:
Personal Assistance
- Manage personal calendars, organizing appointments and commitments for family members.
- Coordinate all aspects of family travel, including bookings, itineraries, and transportation.
- Assist in planning personal events, gatherings, and family activities.
- Serve as the main point of contact for personal matters, ensuring smooth external communications.
- Handle personal tasks and correspondence with discretion and confidentiality.
- Maintain complete confidentiality regarding family-related matters.
General Tasks
- Plan and book travel arrangements for both personal and business purposes, including flights, accommodations, and ground transportation.
- Prepare detailed travel itineraries and manage any last-minute changes.
- Handle phone calls, emails, and correspondence, ensuring timely follow-ups.
- Ensure all sensitive information is handled discreetly.
- Provide administrative support, including filing, data entry, and organizing meetings.
- Assist with special projects and adapt to various tasks in a fast-paced environment.
- Maintain organization across all responsibilities and tasks.
Qualifications:
- Proven experience as a Personal Assistant or in a similar role, supporting high-level executives or board members.
- Strong proficiency in email communication, capable of crafting professional correspondence.
- Exceptional attention to detail and thorough follow-up skills.
- Excellent written and verbal communication skills.
- Proficiency with office software (Microsoft Office Suite, Google Workspace) and organizational tools.
- Strong time management skills, capable of multitasking and meeting deadlines in a fast-paced environment.
- Ability to work independently, handle multiple tasks, and maintain discretion with sensitive information.
